Executive Assistant

Position Summary

The Executive Assistant is responsible for providing high-level administrative support to the President & Chief Executive Officer, Board of Directors and other executives. This position requires attention to detail, strong customer service skills and integrity and professionalism in handling confidential information.

Responsibilities
  • Managing and prioritizing a complex calendar of meetings, conferences and appointments for the CEO and other executives
  • Coordinating the annual Board retreat, internal and external meetings; including event planning, set-up, and execution
  • Managing expense reimbursements for the CEO, Board of Directors, and other executives, as requested
  • Organizing meeting agendas and preparing supporting materials including presentations and reports for the CEO and other executives
  • Attending regular meetings of the Board of Directors and committees to provide administrative assistance
  • Managing travel logistics and itineraries for the CEO, and Board members and executives, as requested
  • Exchanging confidential information with a wide variety of internal/external contacts, and using discretion to expedite matters when urgent
  • Working with leaders of internal departments to execute a variety of special projects
Requirements / Qualifications
  • Bachelor’s degree preferred
  • 5+ years of Executive Assistant experience to C-level executives; insurance industry experience a plus
  • Advanced proficiency in Microsoft Office programs, most importantly PowerPoint, Excel and Word
  • Work in the Seattle office 3-4 days per week
  • Excellent written, verbal and interpersonal communication skills
  • Ability to handle multiple deadlines, adapt to changing priorities and remain calm under pressure, and maintain a high degree of confidentiality
  • Exceptional initiative, time management, analytical thinking, and organizational skills
  • Collaborative, team player willing to jump in and do the work that needs to be done
